GENERAL SUMMARY:
Under the supervision of the Township Supervisor or his/her designee, performs variety of clerical and receptionist duties which require computer and record keeping skills, involving independent judgment. Responsible for greeting all visitors by phone and in person. Perform diverse administrative assistance and general office support services for the Township Supervisor and members of the Board of Trustees. Research and respond to both routine and unique matters regarding a wide variety of Township matters.

TYPICAL DUTIES:

  1. Serves as receptionist, answering telephone calls and greeting walk-in visitors. Answers routine inquiries and/or refers to appropriate person or department.
  2. Process all incoming mail. Sort and distribute mail and other materials.
  3. Maintain and keep organized lobby bulletin board and various pamphlets. Keep lobby organized.
  4. Maintains website and coordinates social media accounts and mass notification programs such as WINS.
  5. Maintains business license database.
  6. Maintains office supplies, places orders. Researches purchasing options.
  7. Schedules use of the Gardendale Meeting Room and Conference Room.
  8. Review the newspaper of general circulation, label, date, and cut out all Township related business, including, but not limited to, business briefs, articles, public notices, death notices and obituaries relating to Sunset Memorial Gardens, and any other item of interest to Fort Gratiot Township; catalog all items removed from newspaper.
  9. Act as assistant to the Township Supervisor and assist the Trustees with travel arrangements, meetings, etc.
  10. Maintains schedule of appointments for Township Supervisor, prepares letters and other correspondence for distribution to residents, prepares reports or memoranda, and maintains office files in manual and computerized modes; obtains, gathers and organizes pertinent data and assembles into usable form.
  11. Reviews minutes of the Board of Trustees and follows-up on instructions given regarding items which are generated from the Township Supervisor’s office.
  12. Provides variety of other clerical and administrative support services and special projects as requested by the Township Supervisor, Clerk or Treasurer to facilitate efficient office operations.

EMPLOYMENT EXPECTATIONS AND QUALIFICATIONS:

A minimum of one to three years of clerical, reception, multiple phone line, computer application, business correspondence, website and social media experience, preferably in a fast paced business or government office or an equivalent combination of education and experience.  Thorough knowledge of standard office computer applications, hardware, and software.

  1. Considerable knowledge of modern office administration, practices, and procedures.
  2. Skilled in applications, including, but not limited to, Adobe, Outlook, Publisher, Word, Excel, PowerPoint and web design software, including word processing formatting. Considerable speed, skill and accuracy in the use of a personal computer.
  3. Strong spelling and grammar skills, both written and verbal. Considerable knowledge of business English and professional correspondence skills.
  4. Ability to conduct prompt and efficient internet searches for a variety of matters.
  5. Initiative and resourcefulness in handling problem situations.
  6. Honest, dependable, ability to handle confidential matters.
  7. Ability to work effectively with other officials, employees and the general public.
  8. Consistency in performance and a professional appearance and demeanor.
  9. Excellent communication and interpersonal skills to deal effectively with township residents, business people and visitors to the Township Office; ability to interact with and coordinate activities with departments and the members of the Board of Trustees; may occasionally require dealing with angry citizens/property owners regarding various matters.
  10. Ability to independently organize and schedule assigned work to meet established deadlines in an environment where interruptions may occur frequently.
  11. High school diploma and additional training in word processing and other office technology; general knowledge of municipal government operations desirable.
  12. Lifting boxes of office supplies, building plans, files, records and other department materials weighing minimum 25 pounds to waist-high level; manual dexterity and ability to sit and operate a computer for extended periods.
  13. Valid operator license (driver’s license) and valid auto insurance.

  • The noise level in the work environment is moderate with many interruptions.
